# Easyflow vs Jotform Workflows: which fits your approvals?

> Jotform Workflows or Easyflow for approvals? Compare form-first and process-first tools on email approvals, outsiders, amount limits, branching and pricing.

Jotform is where many approval processes begin: someone builds a form, then wants a manager to approve each submission. Jotform Workflows adds that approval layer. Teams compare it with Easyflow when the form is no longer the main thing, and the steps, owners and records after it start to matter more.

This page compares the approach, approvals from email, people outside the company, approval limits by amount, branching, integrations and the pricing model, then shows how to move one process. Disclosure: Easyflow is our product. Every claim about Jotform was checked on its official website and help guides in October 2026. Plans and features change, so confirm what matters to you before you decide. We do not list Jotform prices.

## Jotform

Jotform is a form builder, and Jotform Workflows turns a form into a flow with approval, team approval, approve and sign, conditional and split branches, payment requests, PDFs and webhooks. Approvers get buttons in the email and, if you turn off the login requirement, can decide without an account. It is strongest when the approval starts from a form filled by people outside the company.

## Easyflow

Easyflow starts from the process instead of the form: a request form, then a straight line of steps owned by people, groups, the requester's manager or someone picked in the form. Amount tiers pick the approvers, out-of-office delegates and escalation are built in, and every request keeps a tamper-evident timeline. It suits teams of 10 to 300 people where many colleagues start, approve and work on requests.

## Side by side

| | Jotform | Easyflow |
|---|---|---|

| People outside the company | Public forms; approvers can decide without an account when login is off | Public request forms, guest steps by email link and a tracking page; outsiders never count as users |
| Approval limits by amount | If-else and conditional branch elements on form fields, such as greater than | Built in: amount tiers pick the approvers and recalculate when the amount changes |

## Choose Jotform if

- Your approval starts from a form filled by people outside the company, such as applications or vendor requests.
- You need payment collection or e-signature documents in the same flow.
- You want visual branching, including split and merge branches.

## Choose Easyflow if

- Many people across the company start, approve and work on requests, each seeing their own tasks in the task center.
- Approval limits by amount, out-of-office delegates, deadlines and escalation should be built in.
- Every request should keep a tamper-evident timeline you can export to PDF or CSV.

## Switching

1. Pick one form with an approval flow to move first and list its fields, conditions and approvers.
2. Start from the closest Easyflow gallery process (for example Purchase request, Job opening request or Supplier onboarding) and recreate the fields, lists and formulas in the first step.
3. Turn approval elements into steps, and turn if-else conditions on amounts into approval tiers. Split branches become a single sequence.
4. Export or save the submissions you need from Jotform before you cancel. Easyflow has no importer, so replace the form link on your site with the Easyflow public request form from a set date.

## Questions

### Is Jotform Workflows good for internal approvals?

It works well when the approval is a short step after a form. It becomes harder to run when many employees need their own access, since self-serve Jotform plans are single-user and multi-user teams are on Enterprise.

### Can approvers without an account approve in both tools?

Yes. In Jotform you turn off the login requirement and approvers decide from an action page. In Easyflow, approvers can decide from the email after a confirmation page, and outsiders complete guest steps by email link without counting as users.

### Can I import my Jotform forms into Easyflow?

No. Easyflow has no importer. You rebuild the form as the first step of a gallery process and keep your past submissions in Jotform or in an export.
