Comparison
Easyflow vs monday.com: where should your approvals live?
Many teams already run projects on monday.com and start building approvals there too: a form creates an item, a status column holds the decision, automations notify people. The question is usually whether that pattern holds up for purchases, expenses and HR requests, or whether a dedicated workflow tool is simpler.
This page compares the approach, how decisions are made, people outside the company, approval limits by amount, integrations and the pricing model, then shows how to move one process. Disclosure: Easyflow is our product. Every claim about monday.com was checked on its official website and support pages in October 2026. monday.com
monday.com is a work management platform, with products for projects, CRM, service, development and campaigns. Approvals are something you build on a board with WorkForms, status columns and automations, and in August 2026 it added an AI Workflows block that sends approval requests and branches on the answer. It is strongest when your team already works in monday.com and wants approvals next to the rest of its work.
Easyflow
Easyflow is built only for requests and approvals: each process is a request form followed by a straight line of steps. Approvers decide from the email, amount tiers pick the approvers, deadlines send reminders and escalate, and every request keeps a tamper-evident timeline. It suits teams of 10 to 300 people who want these processes ready-made instead of designing them on a board.
Side by side
Which one fits
Choose monday.com if
- Your team already runs its projects in monday.com and wants approvals next to that work.
- You want projects, docs, CRM and service in one platform.
- You rely on a large integrations marketplace and are happy to design the approval logic yourself.
Choose Easyflow if
- You want approvals as a ready-made process with a form, steps and a timeline, not a pattern you build on a board.
- Approvers outside your daily tools should decide from the email, with out-of-office delegates and escalation built in.
- Suppliers or customers should complete a step by email link and follow their request on a tracking page, without counting as users.
Moving a process to Easyflow
- Pick one approval board to move first and note its WorkForm questions, columns, status labels and automations.
- Start from the closest Easyflow gallery process (for example Purchase request or Content approval) and map each column you need to a form field.
- Turn status-driven automations into steps with owners, deadlines and approval tiers by amount.
- Keep or export the board history you need before you remove it. Easyflow has no importer, so let open items finish on the board and point the old form link to the Easyflow public request form.
Questions
Can you build approval workflows in monday.com?
Yes. The usual pattern is a WorkForm that creates an item, a status column for the decision and automations that notify people and move items. Since August 2026, AI Workflows can also send an approval request and branch on the response.
Why use a separate tool if we already pay for monday.com?
Often you should not. If your approvals are simple and your team lives on boards, building them there avoids a second tool. A dedicated tool makes sense when you want approvals from email, amount tiers, delegates and a fixed record per request without designing and maintaining that logic yourself.
Can I import monday.com boards into Easyflow?
No. Easyflow has no importer. You rebuild each process from a gallery template and keep the old board as your record of past requests.
