Comparison

Easyflow vs Pipefy: a board or a line of steps for approvals?

Pipefy and Easyflow are both used for internal requests such as purchases, onboarding and IT tickets. The main difference is the shape: Pipefy shows each request as a card moving across a board, Easyflow runs it as a fixed list of steps, with each task waiting in the task center. Teams usually compare them when they are deciding which of those shapes fits how they work.

This page compares the approach, approvals from email, people outside the company, approval limits by amount, integrations and the pricing model, then shows how to move one process. Disclosure: Easyflow is our product. Every claim about Pipefy was checked on its official website and help center in October 2026. Plans and features change, so confirm what matters to you before you decide. We do not list Pipefy prices.

Pipefy

Pipefy is a process automation platform where each process is a pipe: phases are columns on a Kanban board and each request is a card moving through them. It adds public forms, a guest portal, request tracking, automations and AI agents, with hundreds of integrations. It is strongest for intake-heavy teams, such as procurement or shared services, who like to see every request on a board.

Easyflow

Easyflow runs each request as a straight line: a request form, then steps owned by a person, a group, the requester's manager or someone picked in the form. Approvers decide from the email, amount tiers pick the approvers, and outsiders can submit public forms or complete guest steps. It suits teams of 10 to 300 people who prefer a task center to a board and want to start from a ready-made gallery process.

Which one fits

Choose Pipefy if

  • Your team thinks in boards and wants to see every request as a card moving through phases.
  • You want a free plan to start with, or a broad set of integrations and AI agents.
  • Suppliers or customers need a portal where they submit and follow many requests over time.

Choose Easyflow if

  • You prefer a straight sequence of steps and a task center over a board.
  • Approvers should decide from the email, and amount tiers should pick approvers without building automations.
  • You want one plan with a published price instead of per-user tiers by quote.

Moving a process to Easyflow

  1. Pick one pipe to move first and list its start form fields, phases, phase forms and automations.
  2. Turn each phase that needs a decision or some work into an Easyflow step, starting from the closest gallery process (for example Purchase request or Supplier onboarding).
  3. Recreate value-based routing as approval tiers by amount, and replace public form links on your site or intranet with the Easyflow public request form.
  4. Export or save the card history you need from Pipefy before you downgrade or cancel. Easyflow has no importer, so let open cards finish in Pipefy and send new requests to Easyflow from a set date.

Questions

What is the main difference between Pipefy and Easyflow?

Pipefy shows a process as a Kanban board where cards move between phases. Easyflow runs a process as a fixed list of steps, where each person sees the requests waiting for them in the task center. Both handle approvals; the right one depends on whether your team works better from a board or a list of steps.

Can outsiders take part without an account?

In both tools, yes. Pipefy offers public start and phase forms and request tracking by email link, and its guest portal is on the Business and Enterprise plans. Easyflow has public request forms, guest steps by email link and a tracking page, and outsiders never count as users.

Can I import my Pipefy pipes into Easyflow?

No. Easyflow has no importer. You rebuild each process from a gallery template and keep your Pipefy history in an export or in Pipefy.
